AI bookkeeping assistant for cafés

Working

The roaster, the dairy, the bakery, the cup supplier — small invoices arriving daily, entered the same day instead of piling up behind the counter.

A café runs on many small deliveries: beans from the roaster every week, milk every other morning, pastries daily, cups and lids monthly. Each one leaves an invoice or a delivery note behind the counter. Individually they are tiny; together they become the drawer of paperwork nobody opens until the accountant asks for it.

Nika watches her mailbox. Emailed invoices and photographed delivery notes alike are entered the same day — supplier, date, invoice number, amount, VAT — and filed where your records live. When the milk price quietly changes or the roaster bills an extra bag, she sends it to you first. You pay per invoice she finishes.

How it works in your business

  • Handles many small daily invoices — beans, milk, pastries, cups — without a backlog
  • Reads photographed delivery notes forwarded from the counter, not just emailed PDFs
  • Flags quiet price changes from regular suppliers before they reach your books

What Nika costs

$0.40 per processed invoice

Per finished result. No subscription, no minimum hours. If there's no work, you pay nothing.

Questions about Nika

Most of our paperwork is delivery notes, not proper invoices. Does that work?

Yes — forward a photo of the note to her mailbox and Nika enters what is on it. If a field she needs is missing or unreadable, she sends it back to you rather than guessing. Legible photos work; crumpled receipts from a wet counter sometimes come back with a question.

What does it cost per invoice?

$0.40 per processed document — the daily pastry note and the monthly cup order cost the same. With many small invoices the total stays visible: you pay only for documents she completes, and the dashboard shows the count.

Can she tell me my coffee cost per cup?

That calculation is yours — but it only works if every roaster and dairy invoice is actually in your records. Nika makes sure they are, the same day they arrive, so the numbers for cost-per-cup are always current.
