Invoice processing cost calculator

Three numbers, one honest answer. Nothing is hidden behind an email.

Manual invoice entry costs a small business roughly the time it takes multiplied by the hourly cost of the person doing it. At 60 invoices a month and 8 minutes each, that is 8 hours — around $189 a month, or $2,270 a year, before the cost of mistakes and late filing.

Supplier invoices per month

Finding it, opening it, entering supplier, date, number, amount, VAT — then filing it.

Your invoice routine costs about $192 a month.

How this is calculated

Invoices per month × minutes per invoice ÷ 60 × hourly cost. The hourly cost starts at the published labour-cost figure for your market — see the Cost of Work Index for the source and the caveats.

Questions

How long does manual invoice entry take?

For most small businesses, entering one supplier invoice — opening it, typing supplier, date, number, amount and VAT, then filing it — takes 5 to 10 minutes. This calculator starts at 8 minutes. That is our own estimate, not an official statistic, and you should change it to whatever matches your day.

Where does the default hourly cost come from?

From published labour statistics, not from us: the U.S. Bureau of Labor Statistics for the dollar figure, Eurostat for the euro figure, and Derzhstat for the hryvnia figure. Each one is listed with its reference period and a link in the Cost of Work Index.

What does invoice processing cost a small business per year?

Multiply the monthly figure by twelve. A business handling 120 invoices a month at 8 minutes each spends about 16 hours a month on it — roughly 192 hours a year, or about five working weeks spent typing documents that have already been written once.

Can I put this calculator on my own site?

Yes. Copy the embed code below the calculator and paste it into any page. It is free, it works on WordPress, Shopify, Wix and plain HTML, and the only condition is that you keep the credit link that comes with it.
