Nika + QuickBooks Integration

Nika does not yet connect to QuickBooks Online through a live API. What works today: Nika reads your supplier invoices from email, extracts every line item, and exports a CSV you import into QuickBooks. A direct two-way sync is on the roadmap — not live yet.

What this does

Nika captures supplier invoices the moment they arrive in your inbox — vendor name, invoice number, dates, line items, tax, totals — and turns them into structured rows. You export that as a CSV and import it into QuickBooks Online as bills or expenses. When the direct API integration ships, the same data will push automatically without the manual import step.

Data flow

Email inbox → Nika extraction (vendor, invoice #, line items, tax, totals) → CSV export → manual import into QuickBooks Online as bills. Planned future flow: Email → Nika → QuickBooks API (auto-create bills, match vendors, sync tax categories).

Setup

    Connect your inbox to Nika

    Forward or connect the email address that receives supplier invoices. Nika starts reading within minutes.

  2. 2

    Review extracted invoices in Nika

    Each invoice appears with vendor, line items, and totals filled in. Correct anything before exporting — Nika learns from your edits.

    Export to CSV

    Click Export and download a CSV formatted for QuickBooks bill import. Map columns to your QuickBooks chart of accounts on first import.

    Import into QuickBooks Online

    Use QuickBooks’ built-in CSV import (Expenses or Bills). Takes under two minutes for a typical batch. The direct API sync will eliminate this step.

Limitations

  • No live API connection yet — the final step (QuickBooks import) is manual.
  • Vendor matching to existing QuickBooks vendor records is manual until the API sync ships.
  • Tax category mapping to your QuickBooks chart of accounts is set up once during your first CSV import; it does not auto-sync.
  • No automatic bill payment status sync — QuickBooks remains the source of truth for payment state.

Works best with

Businesses that receive 20–300 supplier invoices per month and want to cut manual data entry without waiting for a full API integration to ship. If you need real-time, two-way QuickBooks sync today, Nika is not the right tool yet.

Questions

Does Nika sync directly with QuickBooks Online right now?

No. Today the workflow is Nika → CSV → manual import into QuickBooks. A direct API integration is planned but not yet live. The CSV export is designed to match QuickBooks’ import format so the manual step is fast.

When will the direct QuickBooks API integration be available?

It is on the roadmap. We are building it carefully — QuickBooks’ vendor and tax-category matching needs to be accurate, not just fast. Join the waitlist and we will notify you when it ships. Until then, the CSV workflow works today.
