Nika + Google Drive Integration

Nika monitors a Google Drive folder you designate and reads every invoice PDF that lands there. It extracts vendor, invoice number, dates, line items, tax, and totals automatically — the same extraction quality as the Gmail and Outlook integrations, for invoices that arrive as files rather than emails. This integration is live and working today.

What this does

Some suppliers email invoices; others upload them to a shared drive, or your team downloads PDFs from supplier portals and drops them into a folder. Nika watches that folder. When a new PDF arrives, Nika reads it, extracts every field, and presents it for review in your dashboard. Once approved, the data exports like any other source. You control which folder Nika watches — nothing outside it is scanned.

Data flow

Invoice PDFs dropped into Google Drive folder → Nika detects new file → extracts vendor, invoice #, dates, line items, tax, totals → presents for review → approved data exports to CSV.

Setup

    Create or pick a Drive folder

    Designate a folder (e.g. "Invoices / To Process") that your team will drop PDFs into. Nika watches only this folder.

    Connect Nika to Google Drive via OAuth

    Sign in with Google. Nika requests read access to the specified folder only — not your entire Drive. Revoke anytime from your Google Account.

    Drop invoices into the folder

    Upload PDFs manually, or set up a Zapier/Make flow, or have your team save portal downloads there. Nika picks up new files within minutes.

    Review and export

    Extracted invoices appear in the dashboard for approval. Export approved data to CSV as usual.

Limitations

  • Nika processes PDFs only in the designated folder. Files elsewhere in your Drive are not scanned.
  • Folder-level read access: Nika does not modify, move, or delete your files. The folder stays exactly as your team left it.
  • Invoice legibility matters — heavily scanned or distorted PDFs may need manual correction of specific fields.
  • This integration processes invoices Nika does not see through your email inbox. If you already use the Gmail integration, this is for the invoices that never arrived by email.

Works best with

Teams that receive invoices via supplier portals, shared folders, or manual downloads rather than email. Pairs well with the Gmail or Outlook integration — email invoices go through inbox; everything else goes through the Drive folder.

Questions

Does Nika scan my entire Google Drive?

No. Nika only reads the single folder you designate during setup. It does not scan or access anything else in your Drive. You can change the watched folder anytime.

Can I use Google Drive alongside the Gmail integration?

Yes — they complement each other. Gmail handles emailed invoices; Google Drive handles PDFs that arrive via portals, downloads, or shared folders. Both feed into the same Nika dashboard and export pipeline.
