Nika + Outlook Integration

Nika connects to Outlook via Microsoft 365 and reads every supplier invoice in your inbox. It extracts vendor, invoice number, dates, line items, tax, and totals automatically. This integration is live and working today — same capability as the Gmail integration, for organisations on Microsoft.

What this does

Nika monitors the Outlook inbox you connect. When a supplier invoice arrives — PDF attachment, embedded invoice, or email with payment link — Nika reads it, extracts every field, and presents it for your review. Works with both Outlook.com personal accounts and Microsoft 365 business mailboxes.

Data flow

Outlook inbox (Microsoft Graph) → Nika reads invoice → extracts vendor, invoice #, dates, line items, tax, totals → presents for review → approved data exports to CSV.

Setup

    Connect your Outlook account

    Sign in with Microsoft 365 OAuth. Nika requests Mail.Read permission to detect invoice emails. Revoke anytime from your Microsoft Account privacy settings.

    Nika processes inbox history and live mail

    On connect, Nika reviews the last 30 days of inbox. New invoices are captured within minutes of arriving.

    Review extracted invoices

    Each invoice appears with vendor, line items, and totals pre-filled. Approve, correct, or reject — Nika improves from your edits.

    Export to CSV

    Download approved invoices as CSV anytime. Future API integrations (QuickBooks, Xero) will push data automatically.

Limitations

  • Invoice must be in the email — PDF attachment or HTML body. Portal-only invoices (download link behind a login) require manual download and forwarding.
  • Read-only access via Microsoft Graph: Nika does not move, categorise, or delete messages. Your inbox is untouched.
  • Shared mailboxes in Microsoft 365 require admin consent during OAuth — your IT administrator may need to approve the connection.
  • Accuracy depends on invoice clarity. Scanned invoices with OCR errors may need manual review of specific line items.

Works best with

Organisations standardised on Microsoft 365 that receive supplier invoices by email. Particularly strong for companies on Outlook where Gmail-based tools are not an option.

Questions

Does Nika work with both Outlook.com and Microsoft 365 business accounts?

Yes. Nika connects via Microsoft Graph, which supports both personal Outlook.com accounts and enterprise Microsoft 365 mailboxes. For shared mailboxes in a business tenant, your admin may need to grant consent during setup.

Can Nika read invoices from a shared team inbox?

Yes, if you connect the shared mailbox account. Microsoft 365 shared mailboxes require admin consent for the OAuth connection. Once connected, Nika processes invoices from that mailbox the same way as a personal inbox.
