Nika + Gmail Integration

Nika connects directly to Gmail and reads every supplier invoice that lands in your inbox. It extracts vendor, invoice number, dates, line items, tax, and totals — automatically, the same day the invoice arrives. This integration is live and working right now.

What this does

Nika monitors the Gmail inbox you connect it to. When a supplier invoice arrives — as a PDF attachment, an embedded HTML invoice, or an email with a payment link — Nika reads it, extracts every data field, and presents it for your review. You approve, edit, or reject. No forwarding rules, no manual sorting. Nika handles it where the invoices already live: Gmail.

Data flow

Gmail inbox → Nika reads invoice (PDF attachment or HTML body) → extracts vendor, invoice #, dates, line items, tax, totals → presents for review → approved data exports to CSV (or future API integrations).

Setup

    Connect your Gmail account

    Sign in with Google OAuth. Nika requests read-only access to detect invoice emails. You can revoke access at any time from your Google Account settings.

    Nika scans recent and incoming invoices

    On first connect, Nika processes the last 30 days of inbox history. Going forward, new invoices are captured within minutes of arrival.

    Review extracted data

    Each invoice appears in your Nika dashboard with all fields pre-filled. Approve as-is or correct any field — Nika learns from your corrections to improve future accuracy.

    Export approved invoices

    Download a CSV of approved invoices anytime, or connect a future API integration (QuickBooks, Xero) for automatic push.

Limitations

  • Nika needs the invoice to be in the email — as a PDF attachment or rendered HTML body. Invoices behind a login portal that the email only links to may require you to download and forward the PDF manually.
  • Read-only Gmail access: Nika does not move, label, or delete your emails. Your inbox stays exactly as you left it.
  • Processing accuracy depends on invoice legibility. Handwritten invoices or heavily distorted PDFs may need manual correction.
  • Nika processes the connected Gmail account. If invoices arrive at a shared alias, connect that account or set up forwarding to the connected address.

Works best with

Any business whose suppliers email invoices as PDFs or HTML. Works especially well for companies receiving 10–500 invoices per month where manual data entry is the bottleneck.

Questions

Does Nika have access to all my Gmail emails?

Nika has read-only access via Google OAuth. It scans for invoice-like emails and processes those. It cannot send, delete, or modify emails in your inbox. You can revoke access anytime from your Google Account.

What if my supplier sends invoices as a download link instead of an attachment?

Nika reads invoices that are in the email itself — as a PDF attachment or inline HTML. If the email only contains a link to a portal where you must log in to download the invoice, Nika cannot access it. In that case, download the PDF and forward it to your connected address.
