Below is the full structure of a credit note: a unique number, a reference to the original invoice, the reason for the credit, and the corrected line items and totals.
A credit note is issued when you need to reduce or refund an amount already invoiced — returned goods, a pricing error, a cancelled service, or a partial discount after billing. It is the legal counterpart to an invoice and must reference the original invoice it corrects. This template ensures you capture all the fields required for clean VAT records.

How to use
1Copy the sections above into a document or spreadsheet template.
2Always reference the original invoice number — a credit note without a link to the original is invalid in most jurisdictions.
3Choose a clear reason code so your books and VAT records are easy to audit.
4Enter only the items being credited — do not re-list the entire original invoice.
5Calculate the Total Credit and apply it against the client’s account or issue a refund.
6Send the credit note to the client and keep a copy with the original invoice file.
Or automate this
Credit notes are fiddly — wrong reason code, missing invoice reference, or a VAT miscalculation can cause audit headaches. Nika can issue credit notes linked to the correct original invoice automatically — from {price} per credit note.
Questions
When should I issue a credit note instead of editing the invoice?+
Once an invoice has been sent to the client (and especially if it has been filed for VAT), never edit it. Issue a credit note to cancel or reduce it, then issue a new corrected invoice if needed. This keeps your sequential numbering and VAT records intact.
Does a credit note reduce my VAT liability?+
Yes. The VAT credited on a credit note reduces the output VAT you owe for the period in which the credit note is issued — not the period of the original invoice. Make sure your VAT return includes all credit notes issued that period.
