Bank Reconciliation Automation
Bank reconciliation automation matches transactions on your bank statement to the corresponding invoices and receipts in your records. Nika reduces the manual matching work by pre-matching transactions to filed documents based on amount, date and supplier, and flagging unmatched items for your review. Full reconciliation still requires human judgement for edge cases.
What It Is
Bank reconciliation is the process of confirming that every transaction on your bank statement corresponds to a record in your books, and vice versa. It is how you catch missing entries, duplicate payments, bank errors and unauthorized charges. Traditionally it is done by hand, line by line, comparing the bank statement to the ledger. Automation pre-matches the obvious pairs (the payment that exactly matches a filed invoice) and leaves only the exceptions for a human to investigate.
How It Works
- ✓Nika compares each bank transaction to filed invoices and receipts by amount, date and supplier
- ✓Transactions that match cleanly are auto-paired and marked as reconciled
- ✓Transactions with no matching document are flagged as exceptions
- ✓You review the exceptions: either find the missing document or mark it as a personal or non-business transaction
- ✓The reconciliation summary shows matched count, exception count and total unmatched value
What Makes It Different
Full reconciliation software tools match transactions but require you to have already entered all the documents. Nika files the documents first, then pre-matches them to bank transactions, so the reconciliation has source documents to match against rather than raw bank data alone.
Who This Is For
This capability benefits businesses that process 20 or more bank transactions per month and currently reconcile manually in spreadsheets or on paper. If your accountant or bookkeeper spends hours each month matching statement lines to invoices one by one, Nika removes the obvious pairs and leaves only the genuine exceptions for human review. It fits businesses that already file supplier invoices through Nika or another document system, because reconciliation quality depends on having source documents already captured. It is less useful for businesses with very few monthly transactions, or for those whose bank statements are already fully reconciled by an automated accounting platform with live bank feeds.
How It Compares
| Factor | Manual reconciliation | Generic tool | Nika |
|---|---|---|---|
| Time per reconciliation | 2 to 4 hours for a month of transactions | 1 to 2 hours, but only after all documents are entered | Minutes for exception review, pre-matching is automatic |
| Matching accuracy | Depends on the person, errors from fatigue | High for exact matches, misses fuzzy ones | Pre-matches by amount, date and supplier, flags the rest |
| Exception handling | You hunt through the statement manually | Flags unmatched lines but gives no context | Flags exceptions with the closest matching documents shown |
| Document linkage | You cross-reference paper or folders | Requires all documents pre-entered | Source documents already filed, linked at match time |
| Bank connection | Paper or PDF statements | Live feeds require credential storage | Works with statement exports, no credentials stored |
Honest Limits
Nika does pre-matching and exception flagging. She does not do final reconciliation sign-off, does not handle complex multi-invoice payments without manual grouping, and does not reconcile credit card statements or inter-company transfers automatically. Your accountant should still review and approve the final reconciliation.
Getting Started
- 1Export your latest bank statement as CSV, PDF or OFX from your banking portal
- 2Forward the statement export to the mailbox Nika monitors, or upload it directly
- 3Nika pre-matches each transaction against filed invoices and receipts by amount, date and supplier
- 4Review the flagged exceptions: find missing documents or mark transactions as personal or non-business
- 5Approve the reconciliation summary and share it with your accountant for final sign-off
FAQ
Does Nika connect directly to my bank account?
Nika works with bank statement exports (CSV, PDF, OFX) rather than live bank feeds. This avoids the security risk of storing banking credentials. If you need live feeds, Nika can work alongside your existing accounting software that already has bank connectivity.
Can Nika reconcile transactions automatically without any human review?
No, and that is deliberate. Nika pre-matches transactions that are unambiguous and flags the rest. Final reconciliation requires human judgement for edge cases like split payments, partial payments, and transactions with no matching document. Full automation without review risks silent errors in your books.
What bank statement formats does Nika accept?
Nika works with CSV, PDF and OFX exports from most banking portals. CSV is the most reliable for parsing. PDF statements are read with OCR but may produce more flagged exceptions depending on the layout. OFX is supported for banks that offer structured export. Nika does not connect to live bank feeds, so you export the statement yourself each period.
How does Nika handle split payments where one transfer covers multiple invoices?
Nika flags split and partial payments as exceptions rather than auto-grouping them. When a single bank transaction covers two or more invoices, the match is ambiguous and requires human judgement. Nika shows you the transaction alongside the candidate invoices so you can confirm the grouping. This is deliberate: auto-grouping payments without confirmation risks silent misallocation in your books.
